Automated Fax, Memo and Letter Templates

This client had a small number of admin staff producing a large amount of correspondence for a number of senior managers each. Too much time was being spent using different templates which had the correct personal information and set-up for each Director.

A custom solution was coded using a single template that allowed the selection of profiles which configured the template in the correct format, with customised personal data. Integration with the address book allowed for easy selection of client addresses. The clients logo was also converted into a True Type font for insertion into the document allowing direct printing without letterhead paper or emailing.

Automated time logging, reporting and invoicing system

This client had a number of fee earning staff who recorded time spent in Excel spreadsheets. An admin staff would then collate these figures manually into weekly and monthly reports which would then be used to manually create invoices for their clients. This took around 3 days each month to produce.

A custom solution was coded allowing for single click creation of weekly and monthly reports from the basic fee earner spreadsheets. 2 different invoice formats could then be created for a selected client with full summary data.

This solution reduced total time spent from 3 days to 4 hours! per month.

Customised Outlook forms and Word reporting

This client made extensive use of shared calendars to organise board level meetings for an entire year. The system was proving cumbersome to administer and a good yearly or monthly overview was hard to achieve.

A custom Outlook form was coded to allow for easy selection and administration of meeting events, reducing administration time and problems. A custom Word template was also developed to allow senior board members to generate easy to use reports showing monthly or yearly views of the shared calendar and event details.
